Standards of Business Conduct
Effective: January 15, 2026
These Standards of Business Conduct establish the minimum requirements Done.ai Group AB expects from all partners, suppliers, and contractors in matters of human rights, labor practices, environmental responsibility, and business integrity.
Foundational Principle
Partners must obey all applicable national and local laws and regulations. In the event of conflicts between this document and applicable laws, partners must follow the strictest of the alternatives.
1. Human Rights
1.1 Fair Treatment
Partners must treat all workers with dignity and respect. There shall be no harsh or inhumane treatment, including violence, gender-based violence, sexual harassment, sexual abuse, corporal punishment, mental or physical coercion, bullying, public shaming, or verbal abuse of workers.
1.2 Non-Discrimination
Partners shall not discriminate based on race, color, age, gender, sexual orientation, gender identity and expression, ethnicity, disability, pregnancy, religion, political affiliation, union membership, covered veteran status, protected genetic information, or marital status in hiring and employment practices such as wages, promotions, rewards, and access to training.
1.3 Remedy and Grievance
Partners must establish mechanisms for workers to report concerns and grievances without fear of retaliation. Effective remedy processes must be in place to address legitimate grievances.
2. Labor Standards
2.1 Fair Wages
Compensation paid to workers shall comply with all applicable wage laws, including those relating to minimum wages, overtime hours, and legally mandated benefits. Workers shall be paid on time and in a transparent manner.
2.2 Working Hours
Working hours shall comply with applicable laws. Workers shall not be required to work more than the hours allowed by law. Overtime must be voluntary and compensated at premium rates as required by law.
2.3 No Child Labor
Partners shall not use child labor. The minimum age for employment shall not be less than 16 years of age, or the age for completing compulsory education, or the minimum age for employment in the country, whichever is greatest.
2.4 No Forced Labor
All work must be voluntary. Partners shall not use forced, bonded, or involuntary prison labor. Workers must be free to terminate their employment with reasonable notice. Employers shall not retain original identity documents and shall not require workers to pay recruitment fees.
2.5 Freedom of Association
Workers shall have the right to join, form, or not join a labor union without fear of reprisal, intimidation, or harassment. Where the right to freedom of association is restricted under law, partners shall facilitate parallel means of independent and free association.
3. Environmental Responsibility
3.1 Compliance with Laws
Partners must comply with all applicable environmental laws and regulations. This includes obtaining and maintaining all required environmental permits and registrations.
3.2 Resource Conservation
Partners are encouraged to reduce consumption of natural resources, minimize waste, and implement practices that reduce environmental impact. This includes responsible water management, energy efficiency, and waste reduction programs.
3.3 Hazardous Materials
Hazardous materials shall be handled, moved, stored, and disposed of in a safe manner that protects human health and the environment.
4. Integrity and Compliance
4.1 Anti-Corruption
Partners shall uphold the highest standards of integrity in all business interactions. All forms of corruption, extortion, and embezzlement are strictly prohibited. Partners shall comply with all applicable anti-corruption laws including anti-bribery laws.
4.2 Intellectual Property Protection
Partners must respect intellectual property rights. Transfer of technology and know-how must be done in a manner that protects intellectual property rights.
4.3 Anti-Money Laundering
Partners shall comply with all applicable anti-money laundering laws and shall not facilitate money laundering or the financing of terrorism.
4.4 Fair Competition
Partners shall uphold standards of fair business, advertising, and competition. Appropriate means to safeguard customer information must be in place.
5. Health and Safety
5.1 Workplace Safety
Partners must provide a safe and healthy work environment. This includes controlling worker exposure to potential safety hazards, implementing safety procedures, and providing appropriate safety equipment.
5.2 Emergency Preparedness
Partners must identify and assess potential emergency situations and minimize their impact by implementing emergency plans and response procedures. This includes fire detection and suppression equipment, clear exit facilities, adequate emergency lighting, and regular drills.
5.3 Training and Communication
Partners must provide workers with appropriate health and safety training in their native language or in a language they can understand. Health and safety information shall be clearly posted in the workplace.
6. Compliance and Enforcement
6.1 Record Keeping
Partners must maintain accurate records demonstrating compliance with these Standards and all applicable laws. Records must be made available to Done.ai upon request.
6.2 Right to Audit
Done.ai reserves the right to conduct audits of partner facilities and operations to verify compliance with these Standards. Partners must cooperate with such audits.
6.3 Non-Compliance
Failure to comply with these Standards may result in termination of the business relationship with Done.ai. Partners are expected to implement corrective action plans to address any identified deficiencies within reasonable timeframes.
7. Sub-Contractors
Partners must ensure that their own suppliers and sub-contractors comply with standards equivalent to those set forth in this document. Partners are responsible for monitoring and verifying sub-contractor compliance.
8. Acknowledgment
By engaging in business with Done.ai, partners acknowledge that they have read, understood, and agree to comply with these Standards of Business Conduct. Partners must communicate these standards to their employees and sub-contractors.
